1. Introduction

AMS Workplace Technology (“Company,” “we,” “our,” or “us”) provides business-to-business (B2B) mobile application solutions designed to support and extend existing facility management systems used by our clients.

This Privacy Policy explains how information is handled when authorized employees of our client organizations (“Users”) access and use our applications.

Our applications (“our apps”) are intended solely for use by employees or authorized personnel of client organizations and are not intended for use by the general public.

AMS Workplace Technology acts as a data processor or service provider (as those terms are defined under applicable data protection laws) on behalf of its client organizations, which serve as the data controllers. We process personal information solely pursuant to our contractual obligations with those client organizations.
 

2. Nature of our apps and Data Relationship

Our apps function as mobile interfaces that connect to and extend the functionality of an existing Facility Management (“FM”) software system operated and controlled by our client organizations.

Our apps:

  • Do not independently create employee records.
  • Do not sell personal data.
  • Do not use personal data for advertising or marketing.
  • Do not collect personal data beyond what is necessary to authenticate users and provide functionality.
  • Do not use personal data for purposes unrelated to the client’s FM system.

All employee records and related data originate from and are controlled by the client’s primary FM software system.

We do not sell or share personal information as those terms are defined under the California Consumer Privacy Act (CCPA) or other applicable U.S. state privacy laws.
 

3. Information Processed Through our apps

To provide its intended functionality, our apps may process limited personal information that already exists within the client’s FM system. This may include:

  • Employee name
  • Work email address
  • Employee ID
  • Job role or department
  • Work-related records stored in the FM system
  • Authentication is performed through the client organization’s identity management system or secure authentication provider. AMS does not store user passwords.

This information:

  • Is not collected directly from the public.
  • Is not created by the App independently.
  • Is accessed solely to enable employees to perform work-related tasks.
  • Remains under the control of the client organization.

Our apps may also process limited technical information necessary for system functionality, such as device type, operating system version, and system logs related to application performance and security. Such information is used solely to maintain and secure the application. Our apps act as a secure interface to display and update data within the client’s existing system.
 

4. Authentication and Access

Users log into our apps using the same credentials they use for the client’s Facility Management system. Authentication is performed against the client’s system or its secure authentication provider.

We do not sell, rent, or trade login credentials or employee information.
 

5. Purpose of Data Processing

Any personal data accessed through the App is processed solely for the following purposes:

  • Authenticating authorized users
  • Displaying work-related records
  • Allowing employees to perform job-related functions
  • Synchronizing updates with the client’s FM system
  • Maintaining application security and system performance

We do not use this data for:

  • Advertising
  • Profiling
  • Marketing
  • Data brokerage
  • Analytics unrelated to system performance
     

6. Data Sharing and Disclosure

We do not sell personal data.

Personal data accessed through our apps are shared only as necessary to:

  • Communicate securely with the client’s FM system
  • Maintain system functionality
  • Comply with applicable legal obligations, if required
  • Provide hosting, infrastructure, or support services through authorized subprocessors engaged pursuant to contractual agreements that include appropriate data protection obligations

All data remains under the ownership and control of the client organization.
 

7. Data Storage and Retention

Our apps do not independently maintain a separate employee database outside of what is required for system functionality.

Employee data is stored and retained according to the policies of the client’s Facility Management system.

We retain data only as necessary to provide the App’s services to our clients and in accordance with contractual obligations.

AMS utilizes the client’s primary FM software system to store limited operational logs or technical data, such information is retained only for as long as reasonably necessary for security, troubleshooting, or compliance purposes.
 

8. Data Security

We implement commercially reasonable technical and organizational safeguards designed to protect information processed through our apps, including secure communication protocols and access controls.

Data transmitted between the App and client systems is encrypted in transit using industry-standard encryption protocols (such as TLS). Where applicable, data stored within the client’s primary FM software system infrastructure is protected using appropriate access controls and security measures designed to safeguard against unauthorized access, disclosure, alteration, or destruction.

Access to our apps is restricted to authorized users designated by the client organization.
 

9. Children’s Privacy

Our apps are not intended for children and are designed solely for use by authorized employees of client organizations. We do not knowingly process personal information from children.
 

10. International Use

Our apps may be used in multiple jurisdictions depending on client operations. Data processing occurs in accordance with applicable laws and contractual agreements between us and our client organizations.
 

11. User Rights

Because our apps operate on behalf of client organizations, requests regarding access, correction, deletion, or restriction of employee data should be directed to the User’s employer or system administrator.

We will assist client organizations in responding to lawful data subject requests as required by applicable law.
 

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Updates will be reflected by revising the Effective Date above. Continued use of our apps after updates constitutes acceptance of the revised policy.
