Centralized Work Orders & PMs

A facility is always in a state of repair, improvement, optimization, and prevention. Putting out “fires” while managing a backlog of maintenance activities is always a challenge for a facilities maintenance manager. How do you keep things running smoothly while optimizing team productivity and showing real results to upper management? It’s difficult enough getting the work itself done, but scheduling and documenting activities requires keeping good records and having the tools you need to make it easier to do your job.

The FMS:Workplace Maintenance Management module delivers on that promise, offering:

Challenges of Maintenance Management

Common tools used for managing service request and maintenance activities range from preventive maintenance (PM) and asset list spreadsheets to basic mobile apps and other existing IT ticketing systems for end users. Too often, these platforms are not optimized for maintenance activities. These tools are typically not connected and while they provide some help when it comes to managing maintenance activities, they do not make it easy to view, plan, or efficiently process requests and tasks. They also usually lack any form of floor or site plan mapping information.

Improved Work Order Processing With AMS

Using the FMS:Workplace Maintenance Management module with AMS implementation, maintenance supervisors and technicians can easily process a tailored service request form from an end user, assign it to one or more technicians, record work details, and close tickets. The module has built-in email communications to update end users of status changes, notify supervisors when tickets don’t meet service level agreements, and flag when high priority work orders come in, to name a few. The web-based interface makes it easy to navigate work orders and process them through their workflow.

Intuitive Data Visibility and Dashboards

Centralized access to maintenance work orders, both on-demand and preventive maintenance, is critical to evaluate workload and priorities. A supervisor can view at a glance all open work orders and drill down to address the backlog. In addition, both supervisor and technicians have quick access to building equipment information, from historical service information to warranty information and even equipment manual attachments. For upper management, dashboards for maintenance data provide quick metrics about the technician workload, response times, equipment performance, and types of maintenance being performed among others.

Stay on Schedule with Preventive Maintenance

Preventive Maintenance (PM) tasks are important to keep up with regularly to reduce the risk of equipment failure and keep equipment and systems operating at optimal levels. PMs are too often deferred when busy schedules push these to the back burner, which increases the risk of system or equipment breakdown. To keep uptime high, PM activities need to have a set schedule and proactively insert themselves into the monthly workload.

The Maintenance Module of FMS:Workplace allows for PM templates and recurring schedule definitions that alert, create, and assign work order tasks automatically. This keeps important preventive tasks flowing and visible with the other on-demand work orders to help ensure they get completed as expected.

Enable a Mobile Workforce

Technicians are always on the move, and they need a mobile solution so they can manage their work activities on-the-go. The FMS:Mobile module works directly with the Maintenance Module to allow for service requests to be created, equipment to be attached, and work orders to be updated and even closed out while in the field. In addition, the platform delivers auto-generated email notifications as requests get assigned to a technician, and technicians even have access to floor plan maps on the mobile device. This allows techs to focus more on their work and less on the administrative parts of it!
