Add Visitor Management Capability to FMS:Workplace

AMS has developed a comprehensive end-to-end Visitor Management module inside of FMS:Workplace which allows employees to register single or multiple visitors with security. It supports the workflow of initial pre-registration to on-site registration, tablet check-in, and even notifications and badge printing with Zebra printers. Since it is integrated with your existing database, your users and space are already set up to support this process, send email notifications, and print reports on visitor activity.

Registration

Employees use the FMS:Workplace environment with an added Visitor Management module available to pre-register a visitor using the same forms they are already familiar with. They can add details and contact info for the visitor who will receive an email confirmation with a QR Code barcode and instructions for visiting the site and checking-in. You can look to batch upload a list of visitors as an option and provide additional details such as:

  • Company
  • Date/Time of Visit
  • Reason for Visit
  • Host/Sponsor
  • Escort Needed
  • Location/Room

The registration process allows for visitors and security to be ready for the visit by communicating to those involved and making for a smoother process.

Check-In

Upon arrival at the site, visitors can scan the barcode from their email (or use a printed version) using the AMS Visitor Registration App on a standard Android tablet device at the security desk. The tablet can be secured using different hardware solutions and can even be used to register a new visitor on-site. This on-site registration notifies the host via email or text message automatically and talks directly to FMS:Workplace.

When checking in, you can choose to display an optional disclaimer/notice for the visit that can be agreed to or even require a signature. If needed, the workflow can also prompt for a photo from the tablet and take the visitor’s photo. The check-in then can send an email to the host/sponsor letting them know they have arrived and are checked in.

Badge Printing

As an option, the solution can print a badge for the visitor after checking in. AMS uses Zebra badge printers that can print grayscale or color badges to plastic cards for use in a badge holder. The badge print can be designed in multiple ways to support a company’s logo and design requirements. You can even choose to include helpful information such as Wi-Fi info, escort needed status, and emergency/security contact info if needed.
