Track Your Lease Agreements with Proactive Notifications

Leased space is common for companies to have and larger populated leased space is typically captured with details of allocation by department and personnel assignments. The lease agreement is usually kept elsewhere and needs to be tracked down by your facilities team when reviewing and space planning. The Real Estate module of FMS:Workplace allows companies to track lease agreements, including key dates, areas (sq/ft), financials, terms, taxes, options, rent payments, and even attachments such as a PDF file of the lease agreement. The key dates can be accompanied by lease notifications, and the tool can proactively send out emails prior to renewals, options, and other important dates, helping you plan for important milestones ahead of time.

Cost Analysis

If you have owned properties, lease agreements will not show you the whole picture. Owned property data such as operating expenses, valuation, taxes, parking, space utilization, environmental ratings/actions, and condition assessment reviews are available to be tracked, and can be integrated with the Real Estate module. You can enter monthly costs for utilities (e.g., electricity, gas, water, waste) and run reports that show portfolio trends over time, as well as comparisons between buildings. With the configurable nature of the module, you can get the information you need in one place to even calculate Total Cost of Ownership (TCO) for your portfolio!

With the reporting capability of the module, you can easily review lease agreements, documentation, and milestone dates across your entire real estate portfolio. You can also search and compare overall building performance in several areas to unlock possible cost savings.
