Integrate FM:Systems Seamlessly With Other Applications

When applications are integrated together, they can help to automate processes where systems of record must be used, avoid manual data entry errors and redundancies, and create a more streamlined user experience. FM:Systems software is the system of record for space inventory, space allocation to departments, and personnel space assignments.

With the Move Management and Maintenance management modules, move and maintenance tickets can be created and/or managed in the system and can be integrated with other ticketing systems. Ticketing Systems

Processes such as Moves/Adds/Changes (MAC) and service & maintenance requests are sometimes required to be tracked in a company’s standard ticketing system such as ServiceNow, Remedy, or Maximo for service provider tasks. These are often kept separate, forcing a department admin to fill out request forms in two different places when they need something such as a move to be processed. This makes for disconnected activities that can get out of sync, is redundant, and is cumbersome for the end user.

Our ServiceNow-FM:Systems Integration Engine is a standard plug-in for ServiceNow that allows for direct linking, syncing, and creating and updating tickets in both systems from either side of origin. The plug-in uses standard ServiceNow components and can be modified to support any workflow needed for ticket exchange with FM:Systems. 

Human Resources & Department Data

The most common integrations with FM:Systems are the Human Resources (HR) and Department data sources. Common examples include SAP, Workday, Oracle, or other systems that manage personnel and department data. Personnel data is important to understanding employment status and department-level resources. Department structure and hierarchy is key to understanding how space is allocated on the floor plans and is essential to be able to charge back space to departments or their rollup lines of business.

AMS has extensive experience in creating secure data transfers to FM:Systems with automated scheduled routines that allow for the automation of adding and updating personnel (employees and contractors) as well as refresh the department structure. Other Data Sources

A great source of occupancy data is waiting for companies in their existing security badge system. These badging systems typically have an API available to use for data exchange as a nightly feed, or even in real time. This data can be automatically pushed into FM:Systems to allow for attendance information at the person or department level for a building. This data helps facility managers and space planners better understand what personnel and departments are coming to the site to use their space. Other sources such as Building Automation Systems (BAS) can also help provide valuable facilities data that can be reported on together with your space inventory and even displayed graphically on a floor plan.
