Centralized Facility Project Tracking

It is always challenging to get a look at the latest status of the many facilities projects happening around your organization simultaneously. Typically, you must go to multiple sources to pull together a snapshot of data, then bring it all together just to summarize a single project. Having an accurate overview of dashboard-style project tracking information at your fingertips is a huge time saver for facilities and project professionals.

Some of the benefits you get when you partner with AMS to implement the Project Management module:

Challenges of Traditional Disconnected Tools

Many project managers (PMs) simply use Microsoft Excel as the tool to collect and manage their facility project information. They take data from other data tools such as SAP and other financial systems to bring totals over to their spreadsheets to try and keep them updated. This is a tedious process that is only as good as the data being updated manually by a PM, and the data remains static until another update is made. The spreadsheet must then be shared with others and version controlled as needed, not to mention the fact that several other PMs will be managing it their own way using Excel or other applications.

End-to-End Project Workflow With AMS

Initiating project requests, approving them, budgeting & planning, executing & tracking, and closing them out are all done a little differently at each company. Fortunately, the configurable nature of FMS:Workplace and the Project Management module allow you to configure your own custom forms and send them through the workflow steps that are right for your organization.  You can add and remove content to track, such as invoices, and forecast the spend over project milestone dates or months as needed. AMS helps you configure the module to the way you want to work, not the other way around.

Centralized Project Dashboards

The module has built-in reporting capabilities that let PMs and management drill into project information from a high level down to individual details. This enables you to look at the classic “traffic light” view (green, yellow, red) for important areas such as budget, schedule, and risk. By integrating with your financial system using a nightly data feed of purchase order and invoice data, you can get current project financials without manually copying them over. The ability to see an overview of the projects at-a-glance is a huge time-saver!

The Project Management module is great for project tracking to replace some of the typical disconnected and decentralized tools such as spreadsheets that are being used today. PMs can spend less time gathering and preparing project updates and instead focus their work on keeping the project running smoothly. This tool is a great solution for a facilities team that wants an easy way to centralize and organize their projects with the ability to quickly track their progress.
